GreenhouseOS Privacy Policy

This Privacy Policy explains how GreenhouseOS Inc. ("GreenhouseOS," "we," "us," or "our") collects, uses, discloses, retains, and protects personal information when you use our websites, web application, console, emails, support channels, payment flows, and related services (collectively, the "Service").

This Privacy Policy applies to personal information. It does not restrict GreenhouseOS's rights to use de-identified, anonymized, aggregated, derived, or non-personal operational data as described in the GreenhouseOS Terms of Service.

1. Personal Information We Collect

We may collect the following categories of personal information:

Account and Profile Information

Name, email address, phone number, job title, company name, role, password/authentication status, user permissions, company workspace, billing status, and account preferences.

Business and Operational Information

Information entered into the Service, which may include customer contacts, employee or contractor names, notes, orders, tasks, crop records, batch records, spray records, inventory records, greenhouse space records, communications, support requests, and other greenhouse operation data.

Payment and Billing Information

Subscription plan, billing status, invoices, payment history, billing contact information, tax information, and payment processor identifiers. Payment card details may be processed by Stripe or another payment processor and may not be stored directly by GreenhouseOS.

Device, Usage, and Log Information

IP address, browser type, device identifiers, operating system, pages viewed, links clicked, actions taken, session information, error logs, performance logs, approximate location derived from IP address, and authentication/security events.

Communications

Emails, support requests, feedback, bug reports, feature requests, survey responses, call notes, chat messages, and other communications with GreenhouseOS.

Cookies and Similar Technologies

We may use cookies, local storage, pixels, SDKs, and similar technologies for login sessions, security, preferences, analytics, performance, product improvement, and marketing measurement. The GreenhouseOS application requires certain cookies or similar technologies to keep users signed in and operate securely. The public marketing website may use optional analytics or marketing cookies where enabled or consented to.

2. Sources of Personal Information

We collect personal information from:

  • You and your authorized users.
  • Your company or account administrator.
  • Your use of the Service.
  • Payment processors and billing providers.
  • Authentication providers.
  • Support, email, analytics, hosting, logging, and security providers.
  • Third-party integrations you connect or authorize.
  • Public, supplier, government, or commercial sources where relevant to the Service.

3. How We Use Personal Information

We may use personal information to:

  • Provide, operate, secure, and maintain the Service.
  • Create and manage accounts, users, roles, workspaces, and subscriptions.
  • Process billing, payments, taxes, invoices, renewals, cancellations, and fraud checks.
  • Provide support, troubleshoot issues, respond to requests, and communicate with users.
  • Generate recommendations, alerts, analytics, dashboards, reports, crop timing, task workflows, and operational insights.
  • Improve, test, train, validate, and develop GreenhouseOS products, services, data systems, models, algorithms, and artificial intelligence.
  • Send operational, administrative, security, billing, and service messages.
  • Send newsletters, product updates, promotional materials, sponsor or partner information, event information, and other marketing communications where permitted by law.
  • Monitor usage, performance, and security.
  • Enforce agreements and policies.
  • Comply with law, legal process, and regulatory obligations.
  • Protect GreenhouseOS, customers, users, third parties, and the public.

4. Aggregated, De-Identified, and Anonymized Data

GreenhouseOS may create, use, disclose, license, sell, publish, and commercialize data that has been aggregated, de-identified, anonymized, or derived so that it does not identify you, your company, your users, or your customers in a manner prohibited by applicable law.

This data may include greenhouse production benchmarks, crop timing patterns, demand trends, inventory signals, space utilization, regional or market insights, supplier analytics, pest or crop risk trends, planning models, and other operational intelligence.

GreenhouseOS may use this information for any lawful purpose, including product improvement, research, analytics, commercial data products, partnerships, sponsorships, advertising, and industry reporting.

GreenhouseOS may also retain and use non-personal operational data, platform-generated records, and GreenhouseOS Data as described in the Terms of Service. This Privacy Policy does not create deletion rights for non-personal data beyond what applicable law requires.

5. How We Disclose Personal Information

We may disclose personal information to:

Service Providers

Vendors that help us operate the Service, including hosting, Cloud Run/Google Cloud, databases, security, email, analytics, logging, support, customer communications, payment processing, and billing providers.

Payment Processors

Stripe or other payment processors may process payment and billing information under their own terms and privacy policies.

Customer Administrators and Authorized Users

If you use the Service under a company account, your company administrators and authorized users may access account, user, activity, and operational information according to their permissions.

Integrations and Third Parties You Authorize

If you connect or request an integration, we may disclose information as needed to provide that integration.

Legal, Safety, and Security Recipients

We may disclose information if we believe it is required or appropriate to comply with law, legal process, government requests, enforcement, fraud prevention, security, safety, or protection of rights.

Business Transfers

We may disclose or transfer information in connection with a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar business transaction.

Aggregated or De-Identified Recipients

We may disclose aggregated, anonymized, de-identified, or derived data as described above.

6. We Do Not Sell Email Addresses

GreenhouseOS does not sell users' email addresses as standalone contact lists.

We may use email addresses to send account, operational, billing, support, product, newsletter, promotional, sponsor, partner, or industry communications where permitted by law. Promotional emails will include an unsubscribe mechanism where required.

Promotional emails may identify GreenhouseOS Inc. as the sender and may include the mailing address 601 N. Division St. PMB 445, Morris, IL 60450.

7. Selling or Sharing Personal Information

GreenhouseOS plans to sell, license, publish, or commercialize aggregated, anonymized, de-identified, or derived operational data. We do not intend for this to identify individuals.

GreenhouseOS does not currently sell personal information for money in the ordinary sense, and does not currently share personal information for cross-context behavioral advertising as those terms may be defined under certain U.S. state privacy laws. If our practices change, we will update this Privacy Policy and provide required opt-out rights.

Some privacy laws define "sale" or "sharing" broadly. If you believe a GreenhouseOS practice qualifies as a sale or sharing of your personal information, you may contact us using the information below.

8. Cookies and Analytics

We may use cookies and similar technologies to keep users signed in, secure accounts, remember preferences, understand product usage, measure performance, detect errors, improve features, and support marketing. Some cookies are necessary for the application to work. Browser settings may allow you to block or delete cookies, but some Service features may not work correctly without them.

If we add optional analytics, advertising, retargeting, or sponsor-measurement cookies on the public website, we may provide a cookie banner, consent tool, preference mechanism, or other legally required notice where applicable.

9. Data Retention

We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the Service, maintain accounts, comply with legal obligations, resolve disputes, enforce agreements, secure the Service, maintain backups, support billing/tax records, and improve GreenhouseOS.

We generally keep profile information while your account exists unless you request deletion and deletion is legally and technically appropriate. If you request deletion, we may remove or de-identify profile information where reasonably possible, but may retain information where needed for legal, security, fraud prevention, tax, accounting, dispute, backup, audit, or legitimate business purposes.

Operational workspace data may be retained, restricted, deleted, anonymized, aggregated, or de-identified according to the Terms of Service, subscription status, legal requirements, and GreenhouseOS retention practices.

10. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure. You are responsible for maintaining secure credentials, devices, and user permissions.

11. Your Choices

Depending on your location and applicable law, you may have rights to:

  • Access personal information we hold about you.
  • Correct inaccurate personal information.
  • Delete certain personal information.
  • Opt out of certain sales, sharing, targeted advertising, or profiling.
  • Limit certain sensitive personal information uses.
  • Receive a copy of certain personal information.
  • Appeal a denied privacy request.
  • Not be discriminated against for exercising privacy rights.

To exercise rights, contact us using the information below. We may need to verify your identity and authority before fulfilling a request. If you are an employee, contractor, customer, or user of one of our business customers, we may direct your request to that customer where appropriate.

12. California Privacy Notice

This section applies to California residents where the California Consumer Privacy Act, as amended, applies.

In the past 12 months, GreenhouseOS may have collected the categories of personal information described in Section 1, including identifiers, commercial information, internet or electronic network activity, geolocation approximations, professional or employment-related information, and inferences.

We collect and use those categories for the purposes described in Section 3. We disclose those categories to the recipients described in Section 5.

California residents may have the right to know, access, correct, delete, opt out of sale/share, limit certain sensitive personal information uses, and not be discriminated against for exercising rights.

GreenhouseOS does not knowingly sell or share personal information of consumers under 16. GreenhouseOS does not currently sell personal information for money or share personal information for cross-context behavioral advertising. GreenhouseOS may commercialize aggregated, anonymized, de-identified, or derived operational data.

13. Other U.S. State Privacy Rights

Residents of Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, Delaware, Iowa, Indiana, Tennessee, New Jersey, Nebraska, New Hampshire, Maryland, Minnesota, Rhode Island, and other states may have privacy rights under state law, depending on the effective date and applicability of those laws.

Where applicable, you may request access, deletion, correction, portability, opt-out of targeted advertising, opt-out of sale of personal data, or opt-out of certain profiling. You may also have the right to appeal a denied request.

14. International Users

GreenhouseOS is operated from the United States. If you access the Service from outside the United States, your information may be processed in the United States or other countries where privacy laws may differ from those in your location.

15. Children's Privacy

The Service is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to GreenhouseOS, contact us and we will take appropriate steps.

16. Promotional Emails

You may unsubscribe from promotional emails by using the unsubscribe link or instructions in the email. We may still send non-promotional messages, such as service, billing, security, legal, or account notices.

17. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated version and update the "Last updated" date. Material changes may also be communicated by email, in-app notice, or other reasonable means.
